Piako Gliding Club Incorporated ("the Club", "we") handles the personal information of members and applicants in line with the Privacy Act 2020. This is our initial privacy policy and will be updated as the Club formalises its privacy practices.

Legal name
Your training record and pilot qualifications, which must match your legal identity.
Date of birth
Your training record and qualifications; the right (age-based) membership category; and anonymous statistics on our membership's age profile.
Phone number
Reaching you about flying days and day-to-day operations.
Email address
Club and Gliding New Zealand correspondence — newsletters, duty rosters, AGM and event notices.
Postal address
Gliding New Zealand's membership records and posted mail (e.g. the GNZ AGM booklet)
Emergency contact (name + phone)
So we can reach someone on your behalf if you're involved in an accident. Please ensure they consent to this information being shared with and held by us.
Where applicable: your flying qualifications and medical certificate
To establish your legal eligibility to act as pilot in command of an aircraft.
Who we share it with
Gliding New Zealand, our national body (including for its membership records and posted mail).
Service providers who host or process club data on our behalf, some of whom may hold it overseas.
Regulators or our insurer, where the law or a claim requires it.
We don't otherwise disclose your personal information except as permitted by the Privacy Act 2020.
Sensitive information
Some of what we hold, such as medical certificate dates, is health information. We treat it with particular care and use it only for flying-safety and currency purposes.
How we hold it
We take reasonable steps to keep your information secure against loss and unauthorised access. We keep it only as long as we need it for club purposes, though we may retain a limited record of past membership and roles held.
Your rights
You can ask to see the information we hold about you and ask us to correct it.
We'll respond as soon as we can, and no later than 20 working days.
